The Department of Special Research Collections acquires, preserves, and makes accessible the UCSB Libraries’ most rare, valuable, or unique materials to UCSB students, faculty, and research programs, as well as the scholarly community. Among the collections holdings are approximately 250,000 volumes, 16,000 linear feet of manuscripts, 100,000 photographs and more than 200,000 early sound recordings.

Description

Under direction of the Assistant Head, Special Research Collections, the Archival Processing Specialist consults and establishes processing plans for collections, processes complex collections, trains and supervises students in the processing of simple collections or portions of collections, creates indexes, container lists, and finding guides. Using ArchivesSpace and other tools, creates EAD finding guides for publication on the Online Archive of California (OAC). Maintains and updates collection records in ArchivesSpace and republishes guides as needed. Works with catalogers in cataloging collections and assists metadata and digitization center staff with collections being digitized. Works on consultative basis with public services staff including the creation and editing of digital collection documents. Works on consultative basis with public services staff in processing requests, providing guidance on the retrieval and provision of digital materials according to department policies. Provides coverage of service point as needed and provides reference services as needed. In carrying out this work, the Archival Processing Specialist uses independent judgment and works with minimal supervision.

Job Responsibilities

Collections Management & Processing

Processes collections by creating a descriptive framework for use by researchers. Responsibilities include arrangement and description of personal papers, organizational records, photographs, graphic art materials, audiovisual materials, born-digital materials, and ephemera following current archival practices.

Develops and documents processing plans for archival collections, processes complex collections, trains and supervises students in the processing of simple collections or portions of collections. Directs student staff in preservation rehousing of collections and creating container lists for collections.

Using ArchivesSpace, Excel, and other tools, creates EAD finding guides for publication in the Online Archive of California (OAC), and works with online and local databases, indexes, and other descriptive access tools as needed. Maintains and revises EAD guides as needed.

Coordinates work with cataloging staff to ensure completeness and accuracy of catalog records.

In cooperation with Special Research Collections and other library staff, assists in developing and coordinating digitization projects of collections for preservation and access, including born digital formats.

Student Supervision

Hires, trains, directs, and evaluates student assistants in basic processing activities for archival and manuscript collections, including arrangement, description, creation of inventories, and preservation rehousing. Trains student staff in handling and care of special format materials such as works of art on paper, photographs, and fragile manuscripts.

Reconciles student time cards via electronic timekeeping system.

Manages general assistance budget and coordinates projects. Prepares written reports on objectives reached and contributes to formulation of program goals and priorities.

Miscellaneous

Assists with exhibits and instruction, as well as social media and outreach.

Covers the front desk and assists with reference, as needed.

Works on consultative basis with public services staff including creation and editing of web documents, processing public service requests, and providing guidance on the retrieval and provision of digital materials according to department policies.

Qualifications

Required

Bachelors degree and two to three years of library experience and/or equivalent combination of education and work experience.

Ability to develop and implement library policies and procedures; ability to utilize initiative and originality in solving the most difficult problems.

Ability to interpret and apply complex description, filing, and data entry procedures.

Demonstrated customer service experience and ability to work effectively with patrons, including students, staff, and faculty.

High degree of computer literacy and comfort in the digital environment; the ability to independently learn new technologies and their applications in libraries and to instruct colleagues in their use.

Excellent organizational skills and attention to detail.

Excellent verbal and written communication skills.

Must be able to meet multiple deadlines in a fast-paced academic environment.

Demonstrated commitment to achieving equity, diversity and inclusion in the workplace and the community.

Preferred

Knowledge of and experience with library and archival systems and procedures, ArchivesSpace, Encoded Archival Description, Filemaker Pro, and Online Archive of California.

Experience working with database, content management, scanning, and other software.

Supervisory experience.
