Reporting to the Dean of Libraries, the Associate University Librarian (AUL) for Special Collections, University Archives, and Preservation oversees all aspects of the Special Collections, University Archives, and Preservation department. The AUL leads a team of faculty, staff, and student workers to conduct collection development, preservation, organization, description, access, instruction, promotion and outreach for cultural heritage materials held by the libraries, especially rare books and archival materials. The AUL provides administrative oversight and support by setting priorities, hiring and supervising staff, managing budget expenditures, developing policies and procedures, and grant-writing. The AUL works with the Dean of Libraries and the department’s faculty and staff to set a vision for the department, and promotes this vision to stakeholders, including donors, faculty, and researchers. The AUL also serves on the libraries’ senior leadership team, and integrates the work of the department with the library as a whole. Additionally, the AUL contributes to teaching, learning, and research on campus by hosting workshops, providing in-class instruction, and leading seminars using special collection materials. The AUL helps to maintain ties with the university’s local community and heritage by building collections that reflect these relationships. This position pays $85,000 – $90,000 a year.
- Manage the Special Collections, University Archives, and Preservation department including staff, budget, policies, priorities, strategy, assessment, and grant-writing.
- Add materials to the collection through strategic collection development, including assessing collection strengths and gaps, developing and maintaining relationships with donors, identifying and recommending materials for purchase, and appraising potential acquisitions.
- Provide public services for the department by assisting researchers, answering reference questions, developing research guides, and facilitating reproduction of materials.
- Manage the department’s instruction program by promoting the program to faculty; creating meaningful class sessions based on course syllabi; working with faculty to develop outside assignments that utilize Special Collections resources; preparing and teaching sessions; supporting additional instruction by the Archivist; and providing the necessary equipment, tools, and resources for effective teaching.
- Ensure discovery and access to the collection through oversight of the processing of archival materials and the cataloging of rare books and periodicals, including support for appropriate software and electronic tools. Work with the Librarian for Digital Conversion, Curation, and Publishing to provide further access to collection materials through inclusion in digital collections and other online sites.
- Promote, publicize, and expand awareness of collections through exhibits, programs, written materials, displays, public lectures, workshops, tours, and other methods.
- Oversee collection management, including space requirements, security, incoming and outgoing loans, collection status tracking, and preservation and conservation of materials through climate control, appropriate housing, and item repairs as needed.
- Develop relationships with both internal and external colleagues and serve as liaison to the special collections field, including professional service, attending conferences, and producing scholarly work.

- Master’s degree in Library and Information Science from an ALA-accredited institution
- Coursework in archives and/or special collections
- Successful experience in a special collection department, archives, or museum
- Supervisory experience.
- Knowledge of best practices and standards in the special collections field
- Knowledge of preservation principles
- Strong verbal and written communication skills
- Ability to work collaboratively
- Knowledge of book history
- Evidence of commitment to public service
- Demonstrated ability in evaluating, selecting, and processing rare and special collections.
- Proficient in Microsoft and/or Google Suite.
- Advanced degree in an appropriate subject area

- Evidence of successful project management
- Experience and/or education in the following areas: collection development for special collections, preservation of cultural heritage, exhibit curation, grant-writing, teaching with primary source materials, and digital initiatives in special collections.
- Familiarity with rare book cataloging, Describing Archives: A Content Standard (DACS), Encoded Archival Description (EAD), and other metadata schemas
- An understanding of library fundraising.
- Proficient in archival management software, such as ArchivesSpace.
